Purchase Terms & Policies – SAPS Meeting All In
1. Ticket Registration, Capacity & Curation
Nominal Access: Tickets are personal and non-transferable without prior written authorization from the organization. To gain entry at the Four Seasons Hotel Cartagena, attendees must present their official QR code received via email upon check-in.
Limited Capacity: SAPS Meeting All In is strictly limited to 350 attendees to guarantee a curated, peer-to-peer educational environment. Once capacity is reached, registration will officially close.
2. Pricing, Sales Phases & Processing Fees
Pricing Windows: Admission rates for individual passes are structured into three main purchase windows:
First Phase (Early Bird): $850 USD (Valid through December 31st, 2026).
Second Phase: $950 USD (Valid through February 28th, 2027).
Final Phase: $1,100 USD (Valid through April 30th, 2027).
Processing Fee: All online purchases are subject to an additional 8% service and processing fee calculated at checkout.
3. Social Events & Access
Included Experiences: General admission passes include access to full academic sessions as well as the 2 official SAPS social events: the Welcome Cocktail (Thursday, May 13th) and the grand closing night, Mamma Mia (Saturday, May 15th).
Special Events & Optional Days: Certain restricted activities (such as the Faculty Dinner or the optional Sunday excursion to Rosario Islands) require specific invitations or separate booking and are not included in standard pass pricing.
4. Travel, Lodging & Visa Responsibility
Independent Booking: SAPS Educational Academy is not responsible for non-refundable flight tickets, hotel reservations at Four Seasons or external properties, or visa application fees incurred due to event date changes, schedule adjustments, or personal attendance cancellation.
Travel Insurance: Attendees are strongly advised to secure personal travel and health insurance.
5. Schedule, Venue & Speaker Modifications
Event Adjustments: SAPS Educational Academy reserves the right to modify the academic agenda, faculty roster, venue layout, or event dates due to force majeure or international logistics.
Ticket Validity: If event dates are rescheduled, all purchased tickets will automatically remain valid for the newly announced dates.
6. Media & Image Release
By attending SAPS Meeting All In, participants consent to being photographed and recorded during academic and social activities, authorizing SAPS Educational Academy to use this media for educational, promotional, and institutional purposes.
7. Credit & Exchange Policy
If an attendee is unable to participate, their paid balance may be credited under the following conditions:
Digital Membership Credit: Apply the equivalent amount toward an annual subscription on sapsacademy.com.
Future Event Transfer: Transfer the balance toward registration for a future international SAPS event, subject to seat availability.
Colleague Transfer: Transfer the ticket to another certified plastic surgeon up to 15 days prior to the event start date by providing formal written notification to support.
8. Strict No-Refund Policy
All purchases for tickets, academic passes, resident rates, and social passes are final and strictly non-refundable. Pursuant to Law 45 of 2007 (Consumer Protection Law), given that this is a live event with restricted seating and advance reservation requirements, no monetary refunds will be issued once the transaction is completed.
